Who this applies to

This policy covers the HiVayne website, the HiVayne Recorder browser extension, and the HiVayne application. When HiVayne processes information on behalf of a customer organization under an agreement, that organization is responsible for its own privacy commitments to the people it records or manages, and this policy describes our practices as the provider.

Information we handle

Depending on how you use HiVayne, we may handle:

Account and authentication information — name, email, sign-in identifiers, and workspace membership.
Meeting captions and transcripts — the text of conversations captured through the browser or provided to HiVayne.
Participant names and meeting metadata — who was present, timestamps, meeting titles, and similar details.
Uploaded transcripts and files — content you choose to upload.
Relationship memories — the facts HiVayne preserves from conversations, such as commitments, timing, and constraints.
Derived relationship insights and recommendations — interpretations HiVayne produces, including suggested next actions and prepared drafts.
Action items, commitments, timing, and drafts — items generated for your review.
Email, calendar, CRM, contact, and other connected-source information — only when you connect a source, and only as described at the time you connect it.
Website usage and device information — pages viewed, approximate performance data, browser and device type.

Support and communications — messages you send us.

Where it comes from

We receive information directly from you (for example, when you create an account, capture or upload a conversation, or contact us), automatically from your use of the website and product, and from sources you choose to connect. HiVayne does not determine on your behalf whether a given conversation may lawfully be captured; see the Recording and Consent Guidelines.

How we use it

Provide the product: capture, organize, remember, and prepare relationship intelligence for your review.
Generate summaries, action items, commitments, timing, and prepared drafts.
Maintain security, prevent abuse, and troubleshoot.
Communicate with you about the service and respond to requests.
Improve the product and understand aggregate performance.
Comply with legal obligations.

Conversations and AI

HiVayne uses automated processing, including AI models, to turn conversations into structured relationship intelligence. Provider information is normalized before it is used in that processing. HiVayne prepares drafts and recommendations for a person to review; the current product does not send messages on your behalf without your approval.

We describe below only what we can currently stand behind. We do not claim here that information is never used to train models, that data is never shared, that all data is encrypted end to end, that data is stored only in the United States, or that deletion is immediate and permanent across every backup. Any such statement will be added only after it is verified technically and contractually.

Cookies and usage data

We use third-party service providers (subprocessors) to host and operate HiVayne, such as infrastructure, security, and AI processing providers. They may process information on our behalf to provide the service. A working list is at Subprocessors. We do not use HiVayne to sell personal information or to serve cross-context behavioral advertising.

For attorney review. A definitive “we do not sell or share personal information” statement will be added only after every analytics, advertising, and vendor arrangement is confirmed to support it.

Retention and deletion

We keep information for as long as needed to provide the product and for legitimate business or legal purposes. When you delete content or your account, we remove or de-identify the associated information within a reasonable period, subject to limited retention for security, dispute resolution, and legal obligations, and to temporary persistence in protected backups. You can request deletion at Your Privacy Choices.

Your rights and choices

Depending on where you live, you may have rights to know or access, correct, delete, and export your information, and to opt out of the sale or sharing of personal information or limit certain processing. You can exercise these through Your Privacy Choices. We will not discriminate against you for exercising your rights. We aim to acknowledge requests promptly and respond within the timeframes required by applicable law.

International processing

HiVayne is operated from the United States, and information may be processed in the United States and in other locations where our service providers operate. Where required, appropriate safeguards will be described here.

Security

We take measures intended to protect information, described in Security and human control. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Children

HiVayne is a business product and is not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided information, contact us and we will take appropriate steps.

Changes

We may update this policy. When we make material changes, we will update the date above and, where appropriate, provide additional notice. Continued use after an update means you accept the revised policy.
